Debit Notes in Ghana Insurance

A debit note is the formal document issued by an insurance broker to a client that sets out the premium due for an insurance policy or renewal. It is the standard billing document in the Ghana insurance market and is required by the NIC.

What information is on a debit note?

An NIC-compliant debit note in Ghana should include:

  • Broker name, address, and NIC licence number
  • Client name and address
  • Insurer name and policy number
  • Insurance class and type of cover
  • Period of insurance (inception date to expiry date)
  • Sum insured
  • Premium breakdown (gross premium, discounts, net premium, VAT, total payable)
  • Payment due date
  • Broker bank details for payment
  • Debit note vs policy schedule

A debit note is a billing document from the broker to the client — it is the invoice for the premium.

A policy schedule is the insurance document from the insurer that confirms the cover in force, the terms, and the insured details.

Both documents are needed: the debit note confirms payment is due, the policy schedule confirms cover is in place. PolicyPing generates professional debit notes and broker slips for every quotation.

    Frequently asked questions

Is a debit note proof of insurance in Ghana?

A debit note alone is not proof of insurance — it is a billing document. Proof of insurance is the policy schedule, certificate of insurance, or motor insurance sticker issued by the insurer. However, many clients in Ghana use the debit note as evidence that cover has been arranged while waiting for the formal policy document.

Can PolicyPing generate debit notes automatically?

Yes. PolicyPing generates professional, NIC-formatted debit notes and broker slips automatically for every quotation. Brokers can download, print, or share the debit note PDF directly from the platform.
